📝 Quickly Creating & Managing Credit Notes #
Credit notes are essential for accounting adjustments and customer satisfaction. The Fit+club app provides a straightforward process to create and manage these.
Feature Overview #
The Credit Note Management feature allows you to:
- Quickly create new credit notes for various scenarios.
- Customize general credit note details like voucher number, date, and due date.
- Select existing parties (customers) for whom the credit note is being issued.
- Add products or items being credited (e.g., returned goods).
- Record payment details or mark the note as fully paid.
- Add optional references, terms, or notes.
- View, filter, and manage a list of all credit notes.
- Download, share, or print credit notes.
- Edit, Delete, or Clone existing credit notes for quick re-use or correction.
Step-by-Step Instructions: #
- Log in to your Fit+club account on your mobile device.
- Navigate to the Sales Section (Initial Access Point):
- From the bottom navigation bar of the app, tap the “Sales” icon.
- On the Sales Dashboard, locate and tap the three-dot menu icon at the top right corner (next to the “+” icon).
- From the dropdown menu that appears, tap on “Credit Notes”.
- View and Filter Credit Note List:
- You will now be on the “Credit Note” list screen. This screen displays a list of all existing credit notes. You can typically see:
- Credit Note Number (e.g.,
# CN/AB00001
). - Client Name.
- Date and Time of creation.
- Total Amount of the credit note.
- Paid Amount (relevant if a refund is issued or applied).
- Status (e.g.,
Unpaid
).
- Credit Note Number (e.g.,
- At the top, you can filter the list by “All,” “Paid,” or “Unpaid” statuses.
- Use the “Search…” bar or the filter icon (top right) for quick searching and advanced filtering options.
- You will now be on the “Credit Note” list screen. This screen displays a list of all existing credit notes. You can typically see:
- Add a New Credit Note:
- On the Credit Note list screen, tap the “+ Credit Note” button at the bottom right.
- This will take you to the “Create Credit Note” screen.
- Manage General Credit Note Details:
- In the “General” section, you’ll see:
- Voucher Number: An auto-generated number (e.g.,
CN/AB00002
). - Voucher Date.
- Due Date.

- Tap the “Edit” button in this section to modify these details if necessary.

- Select a Party (Customer):
- Under the “Party” section, tap “+ Add Party”.
- Select the existing customer for whom the credit note is being issued.
- Add Products/Items Being Credited:
- Under the “Product” section, tap “+ Add Items”.
- Select the products or items that are being returned or for which credit is being issued (e.g., “Sample product”).
- Specify the Quantity and review the Price.
- Review Summary and Payment Options:
- The “Summary” section will show the Total, Grand Total, Paid amount, and Balance.
- You can enable “Round Off” if needed.
- In the “Payment” section, you can:
- Mark As Fully Paid: Check this box if the credit note is being fully settled (e.g., a refund is issued or the credit is fully applied).
- Select a Payment Method (Cash, Card, UPI).
- Enter the Amount of payment (if any refund is given).
- Add an optional Reference number.
- Add Optional Details (Terms, Note, Reference):
- Under the “Optional” section, you can tap to add:
- Terms And Conditions.
- A Note.
- An external Reference.

- Save the Credit Note:
- After accurately entering all details, tap the “Save” button at the bottom of the screen to create the credit note. You can also “Discard” to cancel.
Managing an Existing Credit Note (Detailed Actions) #
Once a credit note is created, you can access its detailed view by tapping on it from the Credit Note list (e.g., # CN/AB00001
). On the detailed Credit Note screen, you’ll find various action options:
- Download: Tap the “Download” icon (downward arrow) to save the credit note as a PDF file to your mobile device.
- Share: Tap the “Share” icon to open your device’s sharing options, allowing you to send the credit note via email, messaging apps, etc.
- WhatsApp: Tap the dedicated “WhatsApp” icon for quick sharing of the credit note with the client via WhatsApp.
- Print: Tap the “Print” icon (printer symbol) to generate a physical copy of the credit note.
Additionally, via the three-dot menu at the top right of the detailed credit note view, you have further management options:
- Edit: Tap “Edit” to modify any details of the existing credit note.
- Delete: Tap “Delete” to permanently remove the credit note from your records. Use with caution as this action is usually irreversible.
- Clone: Tap “Clone” to create a duplicate of the current credit note. This is useful if you need to issue a similar credit note to the same or a different customer, saving time on data entry.
