💸 Recording a Payment Out for a Purchase #
Efficiently managing your outgoing payments is a key aspect of business operations. Fit+club allows you to easily track payments made to vendors and link them directly to specific purchase invoices.
Feature Overview #
The Payment Out feature enables you to:
- Record payments made to a vendor or supplier.
- Link the payment to a specific purchase invoice to settle it.
- View a list of all your outgoing payments.
- Download and share payment receipts or records.
- Maintain a clear record of your payables and their settlement status.
Step-by-Step Instructions: #
- Log in to your Fit+club account on your mobile device.
- Navigate to the Payment Out Section:
- From the dashboard (the app’s main screen after login), locate the three-dot menu icon at the bottom right corner of the screen.
- Tap this three-dot menu icon.
- A pop-up menu will appear. From this menu, tap on the “Purchases” navigation option.
- Then, tap on “Payment Out” from the expanded “Purchases” menu.
- View and Create a New Payment Out:
- You will now be on the “Payment Out” list screen. This screen displays a list of all existing outgoing payments.
- To record a new payment, tap the “+” button at the bottom right corner of the screen.
- Select Party (Vendor):
- Tapping the “+” button will take you to the “Add Payment Out” screen.
- First, you need to select the party (vendor/supplier) you are paying. Tap on the “Select Party” button or field.
- A list of your existing parties will appear.
- Tap on the specific vendor to whom you are making the payment.
- Select Invoice and Settle Payment:
- After selecting the party, the app will show you any outstanding invoices for that vendor.
- You can choose to:
- Settle a specific invoice: Tap the invoice you are paying to select it. The app will pre-fill the payment amount based on the invoice’s balance.
- Make a payment on account: If you are making a payment that isn’t for a specific invoice, you might have an option to record it as a general payment.
- Enter Payment Details:
- On the payment screen, you’ll need to fill in the following details:
- Amount: The total amount you are paying.
- Payment Type: Select the method used for this payment (e.g.,
Cash
,Card
,UPI
,Cheque
). - Date: The date of the payment.
- Reference No.: (Optional) A transaction ID or reference number.
- On the payment screen, you’ll need to fill in the following details:
- Save the Payment:
- After entering all the payment details, tap the “Save” button at the bottom of the screen. This will record the payment and update the status of the corresponding purchase invoice.
Managing a Recorded Payment Out #
Once a payment is recorded, you can view its details and share the record:
- View Payment Details:
- From the “Payment Out” list, tap on a specific payment entry. This will open the detailed “Payment Out” screen.
- Here, you can see all the payment information and which invoice it was settled against.
- Download, Share, or Message:
- At the bottom of the detailed payment screen, you will find options to manage the payment record:
- Download: Tap the “Download” icon (downward arrow) to save a PDF of the payment record to your device.
- Share: Tap the “Share” icon to send the PDF via email or other apps.
- Message: A dedicated “WhatsApp” icon might be available for direct messaging.
- At the bottom of the detailed payment screen, you will find options to manage the payment record:
