↩️ Recording & Managing Purchase Returns #
When you need to return purchased items to a vendor, it’s crucial to have a clear and detailed record. The Fit+club app’s “Purchase Return” feature streamlines this process, ensuring your inventory and financial records remain accurate.
Feature Overview #
The Purchase Return Management feature enables you to:
- Create new purchase return documents to track returned goods.
- Select the vendor and the specific products being returned.
- Record details such as return date, notes, and a reference number.
- Log any payment received from the vendor for the return.
- View a list of all purchase returns and their status.
- Download, share, and manage return documents.
- Edit, Delete, or Copy existing return records.
Step-by-Step Instructions: #
- Log in to your Fit+club account on your mobile device.
- Navigate to the Purchase Return Section:
- From the dashboard, locate the three-dot menu icon at the bottom right corner of the screen.
- Tap this menu icon.
- A pop-up menu will appear from the bottom. From this menu, tap on the “Purchases” navigation option.
- Then, tap on “Purchase Return” from the expanded “Purchases” menu.
- View and Create a New Purchase Return:
- You will now be on the “Purchase Return” list screen.
- To create a new purchase return, tap the “+” button at the bottom right corner of the screen.
- Manage General & Party Details:
- This will take you to the “Create Purchase Return” screen.
- In the “General” section, you’ll see an auto-generated Voucher Number (e.g.,
PR/AB00001
) and a Voucher Date. You can tap the “Edit” button to change these if needed. - Under the “Party” section, tap to “Select Party” and choose the vendor to whom you are returning the goods.
- Select Products to Return:
- Under the “Products” section, tap “+ Add Items” .
- Select the product(s) you are returning from the list.
- You will be able to specify the Quantity and review the Rate for each returned item.
- Add Notes, References, and Record Payment:
- The “Other Details” section allows you to add important information:
- Notes: Use this field to provide a detailed reason for the return.
- Reference No.: Enter any vendor-provided return authorization number or your internal tracking number.
- The “Payment” section allows you to record any refund or payment received from the vendor for this return.
- Enter the Amount received.
- Select the Payment Type (e.g.,
Cash
,UPI
,Card
).
- The “Other Details” section allows you to add important information:
- Save the Purchase Return:
- After filling in all the details, tap the “Save” button at the bottom of the screen.
Managing an Existing Purchase Return (Details & Actions) #
Once a purchase return is created, you can access its detailed view and perform various actions:
- View Purchase Return Details:
- From the “Purchase Return” list, tap on the specific return entry you wish to view.
- This will open the detailed “Purchase Return” screen, showing all the recorded information.
- Document Actions (Share, Download, Message):
- At the bottom of the detailed return screen, you’ll find options for managing the document:
- Share: Tap the “Share” icon to send the purchase return document via email, messaging apps, etc.
- Download: Tap the “Download” icon to save a PDF of the return record to your device.
- Message: A dedicated “WhatsApp” icon might be present for direct sharing.
- At the bottom of the detailed return screen, you’ll find options for managing the document:
- Advanced Management Options (Edit, Delete, Copy):
- To access further management options, tap the three-dot menu icon at the top right of the detailed return screen. A dropdown will appear with the following choices:
- Edit: Tap “Edit” to modify any details of the existing return.
- Delete: Tap “Delete” to permanently remove the record.
- Copy: Tap “Copy” to create a duplicate of the current return, saving you time if you have a similar return to create.
- To access further management options, tap the three-dot menu icon at the top right of the detailed return screen. A dropdown will appear with the following choices:
